June 2020 Regular Meeting

Monday, June 15, 2020

The regular meeting of the Hickory County Library Board was held June 15, 2020 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Members present were:

President Hal Geltmacher via telephone
Vice-President, Shelly Aubuchon
Trustee Traci Brown
Trustee, Brenda Charles
Stacy Coulsell, Library Administrator
Secretary Judy Baker was absent.

Attendance was taken via the expense voucher.

Hal Geltmacher called the meeting to order at 10:04am.

After reviewing the agenda, Brenda Charles moved to accept the Agenda as presented. Shelly Aubuchon  seconded and the motion carried unanimously.

After reviewing the minutes from the May Regular meeting, Shelly Aubuchon moved to accept the minutes as read. Brenda Charles seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell presented the Administrator’s Report. Coulsell reported that the Library had resumed previous hours as of June 1, 2020 (Monday through Friday 9:30am -7:00pm, and Saturdays, 9:30am - 1:00pm. )

The Library is continuing to offer curbside services, recommending that no more than 10 people visit the Library at one time and only one family member per visit. Coulsell continues to attend webinars provided by the State Library. Coulsell reported that she would resume Story Hours with Head Start in their summer classes; Head Start in Hickory County is now located on the Hermitage R-IV school campus.

Administrator Coulsell noted that the Library will be adding two additional digital formats to the Library’s collection: WorldPress A to Z Maps and Hoopla. WorldPress has a generic login, and the Hoopla service can be accessed remotely utilizing a patron’s library card. Hoopla is an eBook, magazine and movie download service. Coulsell is looking to get the building power-washed and the front lobby area painted. She is investigating carpet cleaning services as well. Coulsell also noted that the Library was featured in the Chamber of Commerce Vacation guide.

Administrator Coulsell presented the Financial Reports for May. The balance as of June 15, 2020 was $114,803.17. This reflects the balance of both the Library accounts. Shelly Aubuchon moved to accept the Financial Reports for May as presented. Traci Brown seconded and the motion carried unanimously.

Coulsell presented the Circulation Reports for March and April. The Library had 12 new cards during the month of May with a total circulation of 2,620.  Administrator Coulsell noted that foot traffic and item circulation was rebounding.

Under President’s Report  - Hal Geltmacher discussed Library’s practices on voter registration and asked if that was a service the Library could provide. This item was tabled until more information can be made available.

Under Library Association Report  - It was noted that the Library Association will be accepting bids on the metal roof until July 1, 2020.

Under Friends - It was noted that the Library, on behalf of the Friends group, will be hosting a $1.00 per bag book sale beginning, July 1, 2020.

Under Old Business - The Library Board discussed best practices for COVID-19. The Library continues to sanitize each item as it is returned; requires returned materials to be deposited in the outdoor book drop;  and limits of 10 people visiting and only one person per family until the June 15, 2020 Governor’s order has been lifted.

Under New Business - It was noted that Trustee Judy Baker’s board term would be expiring on July 31, 2020.  The Clerk of Commission has been notified and an advertisement for Board members will run in the local newspaper, The Index. It was also noted that the Annual Application for State Aid was due to the State Library by July 31, 2020.

Having no further business and hearing no public comment, Traci Brown moved to adjourn the meeting at 10:50am, Brenda Charles seconded and the motion carried.

The next meeting will be July 20, 2020 at 10:00am.
