April 2019 Regular Monthly Meeting

Monday, April 15, 2019

The regular meeting of the Hickory County Library Board was held April 15, 2019 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Hal Geltmacher called the meeting to order at 10:00am.

Members present were:

Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher. After reviewing the agenda,Shelly Aubuchon moved to accept the Agenda as presented. Traci Brown seconded and the motion carried unanimously.

After reviewing the minutes from the March Special and March Regular meeting, Gerda Fitts moved to accept the minutes of the Special Meeting as read. Traci Brown seconded and the motion carried unanimously. Traci Brown moved to accept the minutes of the March Regular Meeting as read, and the motion carried unanimously.

Library Administrator Stacy Coulsell presented her report. It was noted that the Preschool and Head Start Story Hours continued. Coulsell reported that the Children’s Crafts with Chef Jamie will be held on April 22. This month will feature two crafts, as the Library is partnering with the R.A.P.P. program through CareConnection for additional community outreach. It was noted the Library had a new employee, Judy Beauchamp, who will be working at the front desk. Coulsell reported that all of the programming had been set for the year. Noting that the horticulture education classes continued. The Jesup Wagon 2.0 had visited the Library on Thursday, April 11, 2019 and featured new tools and two of the project coordinators from the project, a brief article was submitted to the Index regarding this program.

Administrator Coulsell presented the Financial Reports for March.  The balance as of April 15, 2019 was $125, 298.66: This reflects the balance of both the Library accounts, this includes the March tax payments from the Hickory County Treasurer’s office. Reporting that the Library had also received two memorial donations in honor of Arvilla Beam and Brenda Rempfer. After hearing the Financial Reports for March, Traci Brown moved to accept the Financial Reports as presented. Shelly Aubuchon seconded and the motion carried unanimously.

Coulsell presented the Circulation Report for March. The Library had 12 new cards during the month with a Total Circulation of 3585.

Under President’s Report there was none.

Under Library Association, it was reported that the Annual USDA Report had been submitted. It was also noted that the annual payment would be due to the USDA in May, as would the annual liability insurance payment.

Under Friends of the Library, it was noted that the Friends of the Library Spring book sale would end Tuesday, April 16, 2019.

Under Old Business, the board discussed the use of Equalization funds for 2019. Coulsell reported that she is investigating pricing on a new automation system for the Library and would be doing a trial test on that system later in the spring. The Board reviewed, as a group, another Library Trustee training video presented by the American Library Association.

Under New Business, Administrator Coulsell presented the First Quarter Financial Report for 2019. Shelly Aubuchon moved to accept this report as presented, and Traci Brown seconded. The motion carried unanimously.

Also under New Business Adminstrator Coulsell presented the Annual Fiscal and Narrative Report for 2018. This report is also provided to the Missouri State Library, the Missouri State Auditor’s office and the Hickory County Clerk’s office to be in compliance with the law. Traci Brown moved to accept this report as presented, Shelly Aubuchon seconded and the motion carried unanimously.

Having no further business and hearing no public comment, the meeting adjourned at 11:15am.

The next meeting is to be May 20, 2019 at 10:00am.
