April 2021 Regular Monthly Meeting

Monday, April 19, 2021

The regular meeting of the Hickory County Library Board was held April 19, 2021 at 11:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Members present were:

President, Shelly Aubuchon
Vice-President, Ernest Jenkins
Treasurer, Brenda Charles
Secretary, Judy Baker
Trustee, Eleanora Smith
Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher.

President Shelly Aubuchon called the meeting to order at 11:00am.

Brenda Charles moved to accept the Agenda as presented.  Ernest Jenkins seconded and the motion carried.

Ernest Jenkins moved to accept the minutes as read; Eleanora Smith seconded and the motion carried.

Administrator Stacy Coulsell gave her Administrator’s Report.  She reported that the story hour with the Hermitage Preschool continued. The Library continues to have youth volunteer, Lillee Griffith. Coulsell noted that there have been four winners in the Library’s board game giveaways: Logan Kretz, Kahlynn Hackett, Gunner Reed, and Wilbur Reed. Coulsell reported that the Library had only received one bid on the carpet needing to be replaced, and that bids for this project are still being accepted. Coulsell has booked three performers for summer and fall performances, and a schedule of events will be released at a later date.

Administrator Coulsell presented the Financial Reports for March. The balance as og April 19, 2021was $142,807.40, which reflects the balance of both the Library accounts. Judy Baker moved to accept the Financial Reports for March as presented. Ernest Jenkins seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for March; the Library had 7 new cards with a Total Circulation of 3911, noting 52 checkouts in the Hoopla database.  Coulsell noted that overall circulation of items had increased.

Under President’s Report - President Shelly Aubuchon extended her thanks for the dedication of the Library staff.  Aubuchon complimented the Board for being supportive and encouraging of the Library and its projects.

Under Library Association - It was noted that the annual liability insurance payment was due in May.

Under Friends - It was noted that the Spring Friend of the Library book sale would continue until Tuesday, April 20, 2021.

Under Old Business - It was noted that Library Administrator Stacy Coulsell had attended the Cross Timbers City Council meeting and they will graciously accept a Little Sharing Library to be housed in the Cross Timbers Community Building.

Under New Business - Library Administrator Stacy Coulsell presented the First Quarter Balance Report and the Annual Financial Report. Judy Baker moved to accept the reports as presented. Ernest Jenkins seconded. Motion carried unanimously.

The next meeting will be May 17, 2021 at 11:00am

Having no further business and hearing no public comment, Judy Baker moved to adjourn the meeting at 11:35am.  Eleanora Smith seconded, and the motion carried unanimously.
