August 2021 Regular Meeting

Monday, August 16, 2021

The regular meeting of the Hickory County Library Board was held August 16, 2021 at 11:00am in the Hickory County Library Community Room at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Members present were:
Vice-President, Ernest Jenkins
Treasurer, Brenda Charles
Secretary Judy Baker via telephone
Trustee, Eleanora Smith
Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher.  President Shelly Aubuchon was absent.

Vice-President Ernest Jenkins called the meeting to order at 11:00am.

Eleanora Smith moved to accept the Agenda as presented. Brenda Charles seconded and the motion carried.

Brenda Charles moved to accept the minutes as read, Eleanora Smith seconded, and the motion carried unanimously.

Administrator Coulsell presented her Administrator’s Report. Coulsell reported that she was will be doing in-person story hours with the Hermitage Preschool and Head Start classes once the school year resumes in August. Coulsell reported that the area Little Libraries had been restocked with a different collection of books in each unit. Administrator Coulsell has received a large order of Scholastic Children’s books with reading levels from K-6; these books will be distributed to each Little Library for the area school children. Coulsell noted that there will still be one in-person special library program to be held, date to be announced. Crafts for Children will resume on a once-per-month basis during the months of October, November, and December. Coulsell also reported that the annual subscription for the online eBook/electronic material database, Hoopla had been renewed.

Administrator Coulsell presented the Financial Reports for July. The balance as of August 16 was $78342.76. This reflects the balance of both Library accounts. Eleanora Smith moved to accept the Financial Reports for July as presented. Brenda Charles seconded, and the motion carried unanimously. Judy Baker moved to transfer $6,000 from the Outreach Budget line to the Payroll Budget line item. Eleanora Smith seconded and the motion carried unanimously.

Coulsell presented the Circulation Report for July. The Library had 19 new cards with a Total Circulation 4746, noting 61 checkouts in the Hoopla database. Coulsell noted that overall circulation of items had year highs in Periodicals, Audio Books, Adult Fiction, Children’s Fiction and Internet Usage. Noting that the Library was visited 1,255 times during the month of July.

Under President’s Report – There was none.

Under Library Association - It was noted that the Library needed to investigate sealing and striping the parking lot and that striping paint had been donated by the Lucas Oil Foundation.

Under Friends of the Library - It was noted that the Friends would be hosting a Fall Book Sale in October.

Under Old Business - It was noted that the Library was still on schedule to replace the carpeting. The library will be closed during that time, and the dates are to be announced.

Under New Business - It was noted that the Library had received information on the Assessed Valuation and Tax Rate information for 2022, and the tax rate hearing will be held in September.

Having no further business and hearing no public comment the meeting adjourned at 11:35am.

The next meeting will be September 20, 2021 at 11:00am.
