The Regular Meeting of the Hickory County Library Board was held August 21, 2023 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Shelly Aubuchon called the meeting to order at 10:10am

Members present were:

President, Shelly Aubuchon

Vice-President, Ernest Jenkins

Treasurer, Brenda Charles

Secretary, Eleanora Smith

Trustee, Judy Baker via telephone

Library Administrator, Stacy Coulsell

Attendance was taken via the expense voucher.

Brenda Charles moved to accept the Agenda as presented. Ernest Jenkins seconded, and the motion carried unanimously.

Ernest Jenkins moved to accept the minutes from the July Regular Meeting as read, Judy Baker seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell gave her monthly Administrator’s Report.   Coulsell reported that the ongoing story hour with the Hermitage Summer School Students, had completed and each student participating received a gift bag including a copy of the book, items included matched the theme of the book.  Coulsell also noted that the Reading Incentive punch card project had concluded, with seven patrons receiving a $10.00 gift card from Barnes and Noble and a book of their choosing.  The Library will honor the punch cards until the end of August for remaining children participating.  Administrator Coulsell reported that the Library had put in place the memorial garden in memoriam of William McBrayer, a dedication date is to be announced.  Coulsell reported that the Library is preparing for the installation of a storage building, Vice-President Ernest Jenkins had facilitated this project.

The balance as of August 21, 2023 was $89,908.13.  Brenda Charles moved to accept the Financial Reports for July as presented, Judy Baker seconded, and the motion carried unanimously.  .

Coulsell presented the Circulation Report for July the Library had 21 new cards with a Total Circulation of 3747 in July. Noting highest circulation in Children’s Fiction and Non-Fiction for the year.

Under President’s Report-extended commendations for Vice-President Ernest Jenkins and Treasurer Brenda Charles for meeting with Secretary of State Jay Ashcroft on Friday August 4, 2023.  The Secretary of State met with Library Administrator Stacy Coulsell and Staff and toured the facility with his staff that afternoon.

Under Library Association-It was noted that the Annual Corporate Filing Fee had been submitted.

Under Friends of the Library-it was noted that the Friends will host a Fall Book Sale in October.

Under Old Business-Library Administrator reported that the Annual State Aid Certification, Certificate of Compliance and Annual Library Appointments had been submitted to the State Library.

Under New Business-The Library Board reviewed the Collection Development Policy, President Shelly Aubuchon appointed Brenda Charles, Eleanora Smith and Ernest Jenkins to a Policy Review Committee, and this item will be reviewed at the September meeting.

Having no further business and hearing no public comment. Eleanora Smith moved to adjourn the meeting at 10:45am.  Brenda Charles seconded and the motion carried unanimously.

The next meeting is to be September 18, 2023 at 10:00am.
