Annual Board Meeting December 2021

Monday, December 20, 2021

The Annual Meeting of the Hickory County Library Board was held December 20, 2021 at 11:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Shelly Aubuchon called the meeting to order at 11:00am.

Members present were:
President Shelly Aubuchon
Secretary Judy Baker
Treasurer Brenda Charles
Stacy Coulsell, Library Administrator
Vice-President Ernest Jenkins and Trustee Eleanora Smith were absent.

Attendance was taken via the expense voucher.

Judy Baker moved to accept the Agenda as presented. Brenda Charles seconded, and the motion carried unanimously.

Brenda Charles moved to accept the minutes as read; Judy Baker seconded and the motion carried unanimously.

Administrator Coulsell presented her Administrator’s Report. Coulsell reported that the Preschool story hour had resumed. Coulsell reported that the Library had three volunteers currently, Shanna Charles, Elaina Robinson and Joy Adams. Coulsell reported that the Library had hosted Santa and a December Crafting Session for kids. The Library will continue to hand out Children’s books and book bags through the month of December.  The Library is also hosting an Amnesty Period during the month of December, meaning that no late fees will be assessed and is also hosting Food for Fines. All non-perishable food items collected will be donated to the Hickory County C.A.R.E.S. Food Pantry. Coulsell reported that she is currently investigating programming for the next year.

Administrator Coulsell presented the Financial Reports for November. The balance as of December 20, 2021was $66,627.18  This reflects the balance of both the Library accounts. Judy Baker moved to accept the Financial Reports for November as presented.  Brenda Charles seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for November: The Library had 20 new cards with a Total Circulation 3816.

Under President’s Report - President Shelly Aubuchon commended Board member Judy Baker for providing baked goods for the Robert Mathew’s Children’s dedication.

Under Library Association - Association President Judy Baker is investigating additional carpeting project.

Under Friends of the Library - there was none.

Under Old Business - The Board reviewed the 2022 Proposed Budget for the Hickory County Library.  After reviewing the 2022 Pay scale report, Brenda Charles moved to approve five percent wage increase for all staff and Library Administrator Stacy Coulsell. Judy Baker seconded, and the motion carried unanimously. After reviewing the budget, Judy Baker moved to accept the Budget as presented. Brenda Charles seconded and the motion carried unanimously.

Also Under Old Business - The Board heard from the Nominating Committee. Brenda Charles moved to retain the current seating of officers for the year 2022. Judy Baker seconded and the motion carried unanimously.

Under New Business - It was noted that the Library would be hosting the Robert Mathews Dedication. A memorial display and sign will be posted in his honor in the Children’s section, now to be named "Little Critters' Corner" in memory of Robert E. Mathews.

Also Under New Business - It was noted that the Library was named in the obituary of former employee Berniece McCaslin and the Library had received memorial donations on her behalf.

Hearing no public comment and having no further business, the meeting adjourned at 11:50am.

The next meeting will be January 31, 2021 at 11:00am
