February 2020 Regular Meeting

Monday, February 17, 2020
The regular meeting of the Hickory County Library Board was held February 17, 2020 at 1:00pm in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.
President Hal Geltmacher called the meeting to order
at 1:00pm
Members present were:
President Hal Geltmacher
Vice-President, Shelly Aubuchon
Trustee Traci Brown
Trustee, Brenda Charles
Stacy Coulsell, Library Administrator
Secretary Judy Baker was absent.
Attendance was taken via the expense voucher.
After reviewing the agenda Traci Brown moved to accept the Agenda as presented, Shelly Aubuchon seconded and the motion carried unanimously.
After reviewing the minutes from the January Regular meeting, Shelly Aubuchon moved to accept the minutes as read. Traci Brown seconded and the motion carried unanimously.
Library Administrator Stacy Coulsell presented the Administrator’s Report. She reported that the Preschool Story Hour continued. Crafts with Chef Jamie had been held on February 8, 2020; the children had completed a doily valentine featuring a butterfly or a gnome.
Coulsell reported that she had completed the 2019 Payroll Workers Compensation Audit and the 2019 Equalization report. Coulsell reported that she will be attending the Book Expoin May 2020.
Administrator Coulsell reported that she was beginning to plan the special program schedule for 2020. Coulsell also discussed the Summer Mentoring program that had been funded by the Benner family, a project is to recruit a high school or college-aged student with a career focus on education.
Coulsell also presented a Springfield News Leader article featuring the most checked out items in the Greene County Library system for 2019. She was pleased to report that the Hickory County Library had every item on that list in circulation.
Administrator Coulsell presented the Financial Reports for January. The balance, as of February 17, 2020, was $153,335.21. This includes the January tax payment and reflects the balance of both the Library accounts. Shelly Aubuchon moved to accept the Financial Reports as presented. Traci Brown seconded and the motion carried unanimously.
Coulsell presented the Circulation Report for Januar. The Library had 19 new cards during the mont.h with a Total Circulation of 3821.
She noted that the Library had been closed for New Year’s Day, Martin
Luther King Jr. Day, and for three snow days, January 11th, 17th and 20th.
Under President’s Report-Hal Geltmacher discussed the possibility of employing an administrative assistant. This item was tabled.
Under Library Association - It was noted that the USDA Financial Report was due on February 29, 2020.
Under Friends of the Library - It was noted that the Friends have set the date for the Spring Book Sale for the week of April 13, 2020.
Under Old Business - It was noted that the Library had received the 2020 Equalization payment and will be utilizing these fund to upgrade three computers, fixtures and programs held at the Library.
Also Under Old Business, the Library will be contacting the area schools FFA, FBLA and FCCLA groups about partnership on the Little Libraries project.
Under New Business - Administrator Coulsell reported that the Library will host a Vocational Job Training Outreach on March 4, 2020, in partnership with West Central Community Action Agency.
Also Under New Business, Administrator Coulsell reported that the Annual Financial Report was due to the Missouri State Library, Missouri State Auditor’s Office and the Hickory County Clerk by June, 30, 2020.
Also Under New Business, Traci Brown moved to elect Brenda Charles as Treasurer of the Hickory County Library Board of Trustees. Shelly Aubuchon seconded, and the motion carried unanimously.
The next meeting will be March 16, 2020 at 1:00pm
Having no further business and hearing no public comment, the meeting adjourned at 2:17pm.
