July 2019 Regular Monthly Meeting

Monday, July 22, 2019

The regular meeting of the Hickory County Library Board was held July 22, 2019 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Hal Geltmacher called the meeting to order at 10:00am.

Members present were:

President Hal Geltmacher

Vice-President, Shelly Aubuchon

Treasurer Gerda Fitts

Secretary Judy Baker

Trustee Traci Brown

Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher.

After reviewing the agenda Judy Baker moved to accept the Agenda as presented, Shelly Aubuchon seconded and the motion carried unanimously.

After reviewing the minutes from the June meeting, Gerda Fitts moved to accept the minutes as read.  Traci Brown seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell presented the Administrator’s Report.  She reported that the Free Food and Crafts program continued each Friday, it will end on August 9, 2019. This activity offers a free themed craft and meals provided to children under the age of 18 by the Health Department, averaging 15 children per event.  Beginning August 1 and running through August 31, the Library will host Food For Fines, collecting non-perishable food items for late fees. This food will be donated to the Hickory County C.A.R.E.S. Food Pantry.  Coulsell reported that Ventriloquist Kevin Horner and Juggler Brian Wendling had performed and both programs had a good turnout.  Coulsell noted that she had received the information to begin the process of the annual Statistical Report due to the State Library by November 30th.

Coulsell reported there will be a special program on Lewis and Clark presented by Dianne Moran in September.   Administrator Coulsell noted that the contract and payment for the new automation system, Insignia Software would be mailed this week.

Administrator Coulsell presented the Financial Reports for June.  The balance as of July 22, 2019 was $84,168.45 this reflects the balance of both the Library accounts. Shelly Aubuchon moved to accept the Financial Reports as presented.  Gerda Fitts seconded and the motion carried unanimously.

Coulsell presented the Circulation Report for June the Library had 26 new cards during the month with a Total Circulation of 3516.

Under President’s Report - There was none.

Under Library Association Report - The Association reviewed bids for a new air conditioning unit, a bid for Asphalt repair and discussed advertising for bids for roof repair. Hal Geltmacher moved to present a formal bid for the Library Building Roof to the newspaper.  Shelly Aubuchon seconded, and the motion carried unanimously.

Under Friend of the Library - It was noted that Guitarist Jerry Barlow will return on November 2, 2019. His performance will follow the Friends of the Library Fundraiser dinner, to be held at the McCarty Senior Center. Also Under Friends it was noted that their group had donated $50.00 for the purchase of a plaque to dedicate the Library’s Community Room to the Bill and Sharon Barrett family. A dedication ceremony is to be announced.

Under Old Business - the Library has received formal notice from the County Clerk that Gerda Fitt’s Board of Trustee’s term has been extended until 2023.

Under New Business - Judy Baker moved to change the DVD/VHS policy to 5 items per family. Shelly Aubuchon seconded, and the motion carried unanimously.

Also Under New Business - Library Administrator presented the Quarterly Balance Report for 2nd Quarter 2019.  Judy Baker moved to accept the report as presented, Traci Brown seconded, and the motion carried unanimously.

The next meeting will be August 26, 2019 at 10:00am.

Having no further business and hearing no public comment, the meeting adjourned at 10:55am
