Monday, June 27, 2022

The Regular Meeting of the Hickory County Library Board was held June 27, 2022 at 11:00am in the Hickory County Library Community Room at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Vice-President Ernest Jenkins called the meeting to order at 11:05am

Members present were:

Vice-President, Ernest Jenkins

Treasurer, Brenda Charles

Trustee, Eleanora Smith

Stacy Coulsell, Library Administrator

President Shelly Aubuchon and Secretary Judy Baker were absent. Attendance was taken via the expense voucher.

Brenda Charles moved to accept the agenda as presented. Eleanora Smith seconded, and the motion carried unanimously.

Brenda Charles moved to accept the minutes from the May regular meeting as read; Eleanora Smith seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell presented the Administrator’s Report.  Coulsell noted that the Library continues to host two juvenile volunteers, Elaina Robinson and Lillee Griffith. Coulsell is currently reading to the Hermitage Summer School students. It was also noted that Sarah Boyer of the University Extension office 4-H is hosting STEM activities on the first and fourth Thursdays of each month. Coulsell just completed four weeks of Crafts for Kids in partnership with the Hickory County Health Department. Coulsell reported that the remaining carpet remnants had been removed by a patron. Administrator Coulsell reported that she had booked a folk music concert for October, a professional story-teller and a puppet show. Official dates will be announced at a later date. Coulsell plans to host three Children’s Craft sessions in October, November and December. Coulsell reported that the Library would be repairing the retaining wall in the parking lot of the building.

Administrator Coulsell presented the Financial Reports for May, and the balance as of June 27, 2022 was $99,806.11. Eleanora Smith moved to accept the Financial Reports for May as presented; Ernest Jenkins seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for May: The Library had 9 new cards with a Total Circulation of 3754 in May.

Under President’s Report -  There was none, as President Shelly Aubuchon was absent.

Under Library Association - It was reported that the Library is still awaiting the re-carpeting of the Community Room and the completion of the outside guttering project.

Under Friends - It was noted that the Library had received a monetary donation from the Nancy and Carl Underwood family and one monetary donation from an anonymous member of the community.

Under Old Business - Administrator Coulsell discussed projects slated for the 2022 Equalization funds from the State Library.

Under New Business - Administrator Coulsell presented the Annual Audit Report, which is a complete fiscal year report for Fiscal Year 2021 and a narrative of all Library projects completed in that year. This report is submitted to the Missouri State Auditor’s office, the Missouri State Library and the Hickory County Clerk’s office. Brenda Charles moved to accept the report as presented, Eleanora Smith seconded, and the motion carried unanimously.

Also Under New Business - It was noted the Library Board President had been reappointed by the County Commissioner’s office for another term on the Library Board.

Library Administrator Coulsell noted that the annual State Aid filing is due on July 31, 2022.

Coulsell also noted that the Library will be be closed on Monday, July 4, 2022.

The next meeting will be July 18, 2022 at 11:00am.

Hearing no public comment and having no further business, the meeting adjourned at 11:40am.
