March 2024 Monthly Board Meeting

Monday, March 18, 2024

The Regular Meeting of the Hickory County Library Board was held March 18, 2024 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Shelly Aubuchon called the meeting to order at 10:02am

Members present were:

President, Shelly Aubuchon

Vice-President, Ernest Jenkins

Treasurer, Brenda Charles

Secretary. Eleanora Smith

Trustee, Judy Baker via telephone

Library Administrator, Stacy Coulsell

Attendance was taken via the expense voucher.

Eleanora Smith moved to accept the Agenda as updated. Brenda Charles seconded, and the motion carried unanimously.

Judy Baker moved to accept the minutes as read, Ernest Jenkins, seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell presented her monthly Administrator’s Report.  Coulsell reported that the Preschool Story Hour with the Hermitage Preschool continued.  Coulsell noted that the Library was hosting a Reading Incentive punch card event to last through April 15th, children participating and completing the incentive will receive a Scrabble game, a new book of their choosing and a $10.00 Barnes and Noble gift card. Coulsell reported that the Library had a new volunteer, Mare Leary.  Coulsell reported that she is scheduling programs for the year for the Library.  She had recently placed an order for children’s books from scholastic to be distributed with the Little Libraries and with the reading incentive program.  Administrator Coulsell reported that the Library was partnering with the local 4H and MUExtension office with a STEM backpack checkout program, all materials will be supplied by the Extension office.

The balance as of March 18, 2024 was $178,395.06.  Eleanora Smith moved to accept the Financial Reports for February as presented, Ernest Jenkins seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for February the Library had 23 new cards with a Total Circulation of 3153 in February.

Under President’s Report-there was none.

Under Library Association—it was noted that the Association had submitted their Annual Audit Report to the USDA.

Under Friends of the Library-it was noted that the Spring Book Sale would be held April 15th through April 19th. It was also noted that the Friends were hosting two raffles, both items on display in the Library, one a whimsical house and a patriotic quilt.

Under Old Business-the Library has a structural issue with the footing, the repair on this is still be investigated, and this item was tabled until more information is available.

Under New Business-it was noted that the Annual Audit Report for the Library District was due June 30, 2024.  This item was tabled.

Also Under New Business Library Administrator Coulsell reported that the Library had experienced a roof leak, but it had been repaired by Cedar Creek Roofing of Dunnegan.

The needing is to be April 15, 2024.

Having no further business and hearing no public comment the meeting adjourned at 10:30am.
