May 2020 Regular Monthly Meeting

Monday, May 18, 2020

The regular meeting of the Hickory County Library Board was held May 18, 2020 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Members present were:

President Hal Geltmacher via telephone

Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher.

After reviewing the agenda, Brenda Charles moved to accept the Agenda as presented. Traci Brown seconded and the motion carried unanimously.

After reviewing the minutes from the March Regular meeting, Traci Brown moved to accept the minutes as read. Judy Baker seconded and the motion carried unanimously. It was noted that no meeting was held in April due to the Stay At Home Order.

Library Administrator Stacy Coulsell presented the Administrator’s Report. Coulsell reported that the Library had been closed to the public beginning March 21, 2020 and ending May 3, 2020. The Library is continuing to offer curbside services, and is recommending that no more than 10 people visit the Library at one time, with only one family member per visit. Coulsell noted the first few days of re-opening were very busy. Traffic has slowed down. Library hours have been altered to accommodate lesser traffic. The Library is now closing at 5:00pm, Monday through Friday. Coulsell is attending weekly webinars implemented by the State Library on best practices during the pandemic.

Administrator Coulsell presented the Financial Reports for March: the balance as of May 18, 2020 was $141,613.22. This reflects the balance of both the Library accounts. Judy Baker moved to accept the Financial Reports for March as presented. Traci Brown seconded and the motion carried unanimously. Traci Brown moved to accept the Financial Reports for April, Shelly Aubuchon seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for March and April. The Library had 15 new cards during the month of March, with a Total Circulation of 3251. The Library had two new cards in April; both were applied for via email. She noted a record high in e-book circulation. Total Circulation for April was 1037.  The Library was closed for the entire month of April.

Under President’s Report - Hal Geltmacher discussed his concerns with the current COVID-19 virus.  Geltmacher attend the meeting via telephone.

Under Library Association report - It was noted that the Annual Payment will be made to the USDA in May 2020. The Association will also have the annual liability insurance payment to Mike Keith Insurance.

Under Friends of the Library - The Friends of the Library has tentatively set a date for a Fall Book Sale to be held in October 2020.

Under Old Business - Administrator Coulsell reported that the Annual Financial Report for the Hickory County Library had been submitted to the Hickory County Clerk of Commission, the Missouri State Library and the Missouri State Auditor’s office.

Under New Business - Administrator Coulsell reported on the Library procedures taken to practice with current COVID-19 pandemic. All books returned to Library are now requested to be returned to Book Drop: all books returned are sanitized. Staff and Administrator are encouraged to wear gloves when interacting with incoming public for one-on-one help; protective shields have been installed at the Front Desk; protective shields have been put in place on all public access computers. No more than three staff members are in the building at any one time. Surfaces are being sanitized after each Library visit from incoming public. Public meetings held at the Library with groups and organizations have been postponed until June 2020.

Also Under New Business -Traci Brown moved to declare upholstered meeting chairs to be declared as salvaged material.  Shelly Aubuchon seconded and the motion carried.

Having no further business, the meeting adjourned at 11:08am.

The next meeting will be June 15, 2020 at 10:00am.
