November 2023 Regular Meeting

Monday, November 20, 2023

The Regular Meeting of the Hickory County Library Board was held November 20, 2023 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Shelly Aubuchon called the meeting to order at 10:00am

Members present were:

President, Shelly Aubuchon

Vice-President, Ernest Jenkins

Secretary. Eleanora Smith

Trustee, Judy Baker

Library Administrator, Stacy Coulsell

Treasurer, Brenda Charles was absent.  Attendance was taken via the expense voucher.

Ernest Jenkins moved to accept the Agenda as presented. Eleanora Smith seconded, and the motion carried unanimously.

Judy Baker moved to accept the minutes as read, Ernest Jenkins, seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell presented her monthly Administrator’s Report.  Coulsell reported that the Library had received well over eighty trick or treaters on Halloween Night, the Library had decorated in the theme of “The Cat in the Hat,”  staff dressed up as well as some volunteers as characters in the story.  The Cat was the Library’s own Jessica Burke, Thing One and Two were portrayed by Hailey Bickerton and Justin Grisham.   Coulsell noted that she will be a guest reader during a Family Reading Night in November for the Skyline elementary school.  Other family reading nights with area schools are in the planning stages.  Coulsell reported that she is finalizing the Statistical Report that is due this month to the State Library.  The Preschool story hour continues each month with the Hermitage Bumble Bees and Little Hornets.  Coulsell also reported that the fourth Little Sharing Library was put into place at the November 7, 2023 Village of Preston meeting.

The balance as of November 20, 2023 was $54,669.11.  Judy Baker moved to accept the Financial Reports for October as presented, Eleanora Smith seconded, and the motion carried unanimously.    Eleanora Smith moved to move $3000.00 from the Contingency Fund to the Fix and Equipment Fund, Judy Baker seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for October the Library had 23 new cards with a Total Circulation of 3316 in October.

President Shelly Aubuchon extended a commendation to Vice-President Ernest Jenkins for the extra time spent on Library Projects and for representing the Library within the Community.  Aubuchon also noted that the Memorial Dedication to William McBrayer had been facilitated well, thanking the Library Staff and William’s daughter, Susan McBrayer for an honorable presentation.

Under Library Association Report-it was noted that the new Library Storage Building was in place.

Under Friends of the Library-it was noted that the Fall Book Sale was a success and the Library Staff and Board had received thank-you notes for being so accommodating.

Under Old Business-It was noted that all of the Library’s new lighting was in place.  Also Under Old Business, the McBrayer Dedication was slated for later in the day, November 20, 2023.  The Finalized Collection Development Policy was presented by Eleanora Smith and Brenda Charles, this policy will be made available through the Library’s website and will be instituted immediately.

Under New Business—Library Administrator Coulsell presented the Preliminary Budget for Fiscal Year 2024, this item will be tabled until financial totals are available.

Also Under New Business-The Library Board discussed new signage, outside of the Library facility and the Plaza Offices sign need to be addressed, this item was also tabled.

Having no further business and hearing no public comment, Ernest Jenkins moved to adjourn the meeting at 10:50am, Judy Baker seconded, and the motion carried unanimously.

The Next meeting will be December 11, 2023 at 10:00am.
