October 15, 2018 Regular Board Meeting

Monday, October 15, 2018

The regular meeting of the Hickory County Library Board was held October 15, 2018 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

President Hal Geltmacher called the meeting to order at 10:10am.

Members present were:
President, Hal Geltmacher
Treasurer, Gerda Fitts
Secretary, Judy Baker
Trustee, Shelly Aubuchon
Stacy Coulsell, Library Administrator
Vice-President, Sharon Barrett was absent.  Attendance was taken via the expense voucher.

After reviewing the agenda Gerda Fitts moved to approve the agenda as read. Shelly Aubuchon seconded, and the motion carried unanimously.

After reviewing the minutes Shelly Aubuchon moved to accept the minutes as read. Gerda Fitts seconded and the motion carried unanimously.

Library Administrator Stacy Coulsell presented her monthly report. She reported that the Preschool and Head Start Story Hours would continue. October being the first visit of the school year for the Head Start.  Stacy Coulsell reported that she was continuing to work on the Annual Statistical Report this is due in November. The Library will host extended hours during Halloween night handing out candy and treat-bags until 9:00pm. Coulsell reported that the Library would be closed for Veterans Day, November 12th, closing Wednesday, November 21st at noon, and all day November 22nd in honor of the Thanksgiving holiday.  Coulsell reported that the Library had new staff member,Trina Sanning.

Administrator Coulsell presented the Financial Reports for September.  The balance as of September 10, 2018 was $42,087.19 this reflects the balance of both the Library accounts.  After hearing the Financial Reports for September.  Shelly Aubuchon moved to accept the Financial Reports as presented.  Judy Baker seconded and the motion carried unanimously.

Coulsell presented the Circulation Report for August the Library had 16 new cards during the month with a Total Circulation of 3361.  Noting year highs in Children’s non-fiction, Outgoing Interlibrary Loans, and Adult Non-Fiction checkouts.

Under Library Association-there was none.

Under President’s Report- President Hal Geltmacher reported that he and Library Administrator Stacy Coulsell had attended the October 8, 2018 meeting of the Hermitage City Council.  The purpose of this visit was to discuss the traffic intersection of New Hermitage Drive and US Highway 54.  Both Hal Geltmacher and Stacy Coulsell explained that this is a dangerous intersection and requested that the City approved the request to consult MODot about the continuing issue of traffic safety at that intersection.  The request was approved.  The engineer from MODot had met with the Mayor of Hermitage and Library Administration later that same week.  This item is tabled until more information is available.

Under Friends of the Library-The Friends will be ending the Annual Fall book sale, later that same day.  To date it has been a successful sale.

Under Old Business-Administrator Stacy Coulsell presented the Library Board with a Preliminary Budget 2019, this is an early indicator of finances for the next fiscal year.

Under New Business-Adminstrator Coulsell requested permission from the Library Board to utilize the liability insurance for the Annual Celebration of the Pumpkin, held Down Below the Dam on October 20th.  Shelly Aubuchon moved to use the Library’s liability insurance for this event.  Gerda Fitts seconded and the motion carried unanimously.

Also Under New Business, it was noted that long time Board member, Sharon Barrett had requested to step down from the Library Board due to health issues.  This vacancy will be left to the County to appoint a new board member to fill the remaining portion of her term.  The last item of New Business, Library Administrator Stacy Coulsell presented the Third Quarter Balance Report for 2018.  Judy Baker moved to accept the report as presented, Shelly Aubuchon seconded, and the motion carried unanimously.

The next meeting is to be November 19, 2018 at 10:00am
