October 2020 Regular Monthly Meeting

Monday, October 19, 2020
The regular meeting of the Hickory County Library Board was held October 19 2020 at 2:00pm in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.
Members present were:
President, Shelly Aubuchon
Treasurer, Brenda Charles
Trustee, Hal Geltmacher via telephone
Trustee, Ernest Jenkins
Stacy Coulsell, Library Administrator
Attendance was taken via the expense voucher. Secretary Judy Baker was absent. President Shelly Aubuchon called the meeting to order at 2:10pm.
After noting amendments to the Agenda, Brenda Charles made the motion to approve the agenda as presented; Hal Geltmacher seconded and the motion carried.
Hal Geltmacher moved to accept the minutes of the September Library Board Meeting. Brenda Charles seconded and the motion carried.
Library Administrator Coulsell gave her Administrator’s Report. She reported that the Head Start story hour had been held as scheduled. Coulsell also reported that the Library has had several new volunteers over the past months. The Library will be participating in Halloween Activities, with extended hours on October 31, 2020 for Trick or Treaters. Children will receive a themed book and book bag with prepackaged treats. Coulsell also reported that the Library had received the first and second quarter installments of the 2021 Equalization funds for the Library, which can be used for programming, equipment or building improvements. The Library also, in conjunction with the JUST FOR KIDS Celebration of the Pumpkin group, are hosting a Giant Pumpkin Weight Guessing contest. Winner will receive the “Great Pumpkin.”
Administrator Coulsell presented the Financial Reports for September. The balance as of October 19, 2020 was $56,573.37. This reflects the balance of both the Library accounts. Hal Geltmacher moved to accept the Financial Reports for September as presented. Brenda Charles seconded and the motion carried unanimously.
Coulsell presented the Circulation Report for September. The Library had 18 new cards during the month of September, with a Total Circulation 3921.
Under President’s Report - President Shelly Aubuchon welcomed newly appointed Library Trustee, Ernest Jenkins to the Board. Jenkins will be fulfilling Traci Brown’s appointment.
Under Library Association - The Library is still on schedule to have the facility’s roof replaced in November.
Under Friends of the Library - The last day of the Friends of the Library book sale was October19th. The Friends will be finalizing the sale and packing books back up for the season.
Under Old Business - It was noted that the CARES ACT grant application had been accepted by the County and the Library had received the funds for that request. All Little Libraries had been ordered and the first one slated for installation will be in place on the Library grounds, date to be announced.
Under New Business - Administrator Coulsell presented the Third Quarter Balance Report; Brenda Charles moved to accept the Report as presented; Hal Geltmacher seconded and the motion carried unanimously. Coulsell presented the Preliminary 2021 Fiscal Year Budget, and this item was reviewed and tabled until next meeting.
Also Under New Business - Hal Geltmacher moved to elect Ernest Jenkins as Vice-President of the Hickory County Library Board of Trustees. Brenda Charles seconded and the motion carried unanimously.
Ernest Jenkins moved to adjourn the meeting. Brenda Charles seconded. Motion carried.
Hearing no public comment and having no further business the meeting adjourned at 2:55pm.
The next meeting will be November 16, 2020 at 11:00am.
