October 2021 Regular Board Meeting

Monday, October 25, 2021

The regular meeting of the Hickory County Library Board was held October 25, 2021 at 11:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Members present were:

President, Shelly Aubuchon
Vice-President, Ernest Jenkins
Treasurer, Brenda Charles
Trustee, Eleanora Smith
Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher.  Secretary Judy Baker was absent.

President Shelly Aubuchon called the meeting to order at 11:00am.

Eleanora Smith moved to accept the Agenda as presented.  Brenda Charles seconded and the motion carried.

Ernest Jenkins moved to accept the minutes of the September Regular Meeting as read; Eleanora Smith seconded and the motion carried unanimously.

Administrator Coulsell presented her Administrator’s Report. Coulsell reported that she had begun Story Hours with the Hermitage Preschool. It was noted that the Library had a new volunteer, Shanna Charles. Coulsell noted that the Library would be open “special hours” on Sunday, October 31 from 5:00-9:00pm for area trick or treaters.The Library would be decorated in a storybook theme. Coulsell also noted that the Library would be closed Veteran’s Day, November 11th, starting noon on Wednesday, November 24, and all day November 25.  Coulsell noted that the Library would be receiving a computer firewall through granting provided by MOREnet and the internet content filtering pricing had been reduced this year as well.

Administrator Coulsell presented the Financial Reports for September. The balance as October 25, 2021 was $36873.15. This reflects the balance of both the Library accounts. Ernest Jenkins moved to accept the Financial Reports for September as presented. Brenda Charles seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for September: The Library had 26 new cards with a Total Circulation 4145, noting 80 checkouts in the Hoopla database, 433 in Overdrive. Year-high circulation in Inter-library loans was noted.

Under President’s Report - President Shelly Aubuchon extended commendations to Board members Ernest Jenkins and Eleanora Smith, All Library Staff, and volunteers Hailey Bickerton and Justin Grisham for extensive help during the recent carpet installation. President Aubuchon also extended commendation to Administrator Coulsell for her work with the Children’s programming.

Under Library Association - It was noted that the parking lot was still awaiting asphalt sealing and repair.

Under Friends of the Library - It was noted that the Annual Book Sale was held the week of October 11, 2021.

Under Old Business - It was noted that the carpet installation was completed the week of October 28.

Under New Business - Administrator Coulsell presented the Third Quarter Financial Report for 2021. After reviewing the report, Brenda Charles moved to accept the report as presented.  Ernest Jenkins seconded, and the motion carried unanimously.

Also Under New Business - Administrator Coulsell presented the 2022 Preliminary Budget for the Library. but this item was tabled until more financial information is available.

Hearing no public comment and having no further business the meeting adjourned at 11:50am.

The next meeting will be November 15, 2021 at 11:00am.
