February 2021 Regular Monthly Meeting

Monday, February 22, 2021
The regular meeting of the Hickory County Library Board was held February 22, 2021 at 11:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Vice-President, Ernest Jenkins
Treasurer, Brenda Charles

Stacy Coulsell, Library Administrator
Attendance was taken via the expense voucher.
President Shelly Aubuchon called the meeting to order at 11:02am.
Brenda Charles moved to accept the Agenda as presented. Ernest Jenkins seconded and the motion carried.
Ernest Jenkins moved to accept the minutes as read, Eleanora Smith seconded, and the motion carried.
Library Administrator Coulsell gave her Administrator’s Report. Coulsell noted that the Library was closed at noon due to the inclement weather on February 8. It was closed all day February 9, and closed at 3pm February 10-12. The Library was also closed February 15 through February 17, due to inclement weather and weather conditions. It resumed shortened hours, February 18 & 19. Administrator Coulsell reported that the Food for Fines non-perishable food drive brought in a total of 304 pounds of food that was donated to the Hickory County C.A.R.E.S. Food Pantry. There will be an article appearing in the Index at a later date. Coulsell reported that the items for the Summer Reading Grant had arrived; these items are given away with an age appropriate book during summer programming. Coulsell also noted that the Benner Family had donated approximately 20 board games to the Hickory County Library. The Library will be presenting a free weekly drawing for children and their families for those items beginning in March. Coulsell is considering offering a family game night in the summer months with some of the additional games. Coulsell also reported that the Library had received Equalization funds from the State Library. These funds can be utilized for equipment, program and building improvements and have to be expended by the end of the fiscal year presented.
Administrator Coulsell presented the Financial Reports for October, and the balance as of January 25, was $161,041.17. This reflects the balance of both the Library accounts. Ernest Jenkins moved to accept the Financial Reports for January as presented. Judy Baker seconded, and the motion carried unanimously.
Coulsell presented the Circulation Report for January: The Library had 13 new cards with a Total Circulation 3256, noting 10 checkouts in the Hoopla database.
Under President’s Report - there was none.
Under Library Association - it was reported that the Library’s roof installation was completed. Administrator Coulsell reported that the annual USDA report and audit was complete and was due by February 28.
Under Friends - it was noted that the $1.00 per bag sale would continue until February 28. The Annual Friends of the Library book sale will be held the second week of April, 2021.
Under Old Business - Administrator Coulsell reported that Weaubleau City Council had granted approval for a Little Library to be placed in the Lobby of the Weaubleau City Hall. The next potential site will be Cross Timbers.
Under New Business - Administrator Coulsell reported that the Library has received 2021 Equalization funding. The first project completed was the painting the interior lobby of the building; two computers have also been ordered. Treasurer Brenda Charles noted that the Library is listed as a warming station on the Red Cross website. It was also noted in times of extreme temperature, if the road conditions allow. the Library is open as soon as staff is available to the general public.
Hearing no public comment and having no further business the meeting adjourned at 11:45am.
