September 2021 Regular Meeting

Monday, September 13, 2021

The regular meeting of the Hickory County Library Board was held September 13, 2021 at 11:00am in the Hickory County Library Community Room, at the Hickory County Library, 18376 New Hermitage Drive, Hermitage, Missouri, 65668.

Members present were:

President, Shelly Aubuchon

Vice-President, Ernest Jenkins

Treasurer, Brenda Charles

Secretary Judy Baker

Trustee, Eleanora Smith

Stacy Coulsell, Library Administrator

Attendance was taken via the expense voucher.

President Shelly Aubuchon called the meeting to order at 11:02 am.

Judy Baker moved to accept the Agenda as presented.  Ernest Jenkins seconded and the motion carried.

Eleanora Smith moved to accept the minutes as read, Brenda Charles seconded and the motion carried unanimously.

Administrator Coulsell presented her Administrator’s Report. Coulsell reported that she was will return to doing in-person story hours with the Hermitage Preschool and Head Start in October. Coulsell reported that as part of a “Back to School Campaign” the Little Libraries around the county had been restocked with new paperback Children’s books raging from K-6 reading level. Administrator Crafts for Children will resume on a once per month basis during the months of October, November, and December. Coulsell noted that the Library will be open special operating hours on Sunday, October 31, 2021 for area trick or treaters. Coulsell noted that the Library will be decorated in a storybook theme. Administrator Coulsell reported that the Library has a new weekly volunteer, Joy Adams of Cross Timbers.

Administrator Coulsell presented the Financial Reports for August: The balance as September 13 was $61,557.08 which reflects the balance of both the Library accounts. Ernest Jenkins moved to accept the Financial Reports for August as presented. Eleanora Smith seconded, and the motion carried unanimously.

Coulsell presented the Circulation Report for July, and the Library had 28 new cards with a Total Circulation 4348, noting 86 checkouts in the Hoopla database. Coulsell noted that overall circulation of items had year highs in Adult Non-Fiction, Children’s Fiction, Children’s Nonfiction, and an increase in Hoopla downloads. She said the Library was visited 1091 times during the month of August.

Under President’s Report - President Shelly Aubuchon extended thank-yous to Vice-President Ernest Jenkins and the Library Board for conducting the August meeting in her absence.  Aubuchon also extended commendation to Stacy Coulsell and the Library staff for maintaining a positive environment in the Library.

Under Library Association Report - It was noted that Jones Paving has been contacted to seal and patch the parking lot, date TBA.

Under Friends of the Library -Iit was noted that the Friends will host their annual Fall Book Sale the second week of October.

Under Old Business - Administrator Coulsell reported that the new carpet installation will take place in October.

Under New Business - It was noted that the Library Board will host their Annual Public Hearing to set the tax rate on September 16, 2021 at 10:00am.

Also Under New Business - President Shelly Aubuchon appointed Ernest Jenkins and Brenda Charles to be on the Nominating Committee for Election of Officers for the 2021-2022 term.

Administrator Coulsell also provided an update on the Robert Mathews dedication. Coulsell has ordered a commemorative Veteran Flag Case and will be ordering a custom-made sign for the dedication of the Children’s Area. Once these items have been received the Library will host a public reception.

Hearing no public comment and having no further business the meeting adjourned at 11:42 am.

The next meeting will be October 18, 2021 at 11:00 am.
